WELCOME TO MAMBAIO

Welcome to Mambaio! We're excited to have you here.

Imagine having one platform where you can receive customer enquiries, respond automatically, manage your team, send marketing messages, follow up with potential buyers, and sell your products or services — without constantly switching between different applications.

That is what Mambaio is designed to help you achieve.

Mambaio brings your customer conversations, messaging channels, automation tools, and business activities together in one workspace.

Whether you are running a small business, managing an online store, selling real estate, providing professional services, or handling customer communications for several businesses, Mambaio gives you the tools to work smarter.

And the best part?

You do not need to be a programmer to get started.

This guide will walk you through everything you need to know, from creating your account to launching your first automation.

PART 1: WHAT EXACTLY IS MAMBAIO?

Mambaio is an all-in-one business messaging, customer engagement, and automation platform.

It helps businesses connect with customers through supported communication channels, organize conversations, automate repetitive tasks, and manage customer relationships.

Instead of manually responding to the same questions every day, you can build automated conversations that welcome customers, answer common questions, collect information, and guide people toward the next step.

For example:

A customer sees your Facebook advert and sends your business a message.

Mambaio can help you:

  1. Receive the customer's message.
  2. Send an automated welcome response.
  3. Ask what product or service the customer needs.
  4. Present available options through an automated conversation.
  5. Collect the customer's contact details.
  6. Direct the customer to a product, booking, payment, or enquiry process.
  7. Assign the conversation to a team member when human assistance is needed.
  8. Organize the contact for future follow-ups where permitted.
  9. Track messaging activity and campaign results.

All these activities can be managed from your Mambaio workspace, depending on your connected channels, enabled features, and subscription.

Think of Mambaio as your digital customer communication office.

It helps you manage the customer journey from the first enquiry to follow-up and ongoing support.

PART 2: WHAT CAN YOU DO WITH MAMBAIO?

1. Official WhatsApp Business API Integration

Connect your business to the official WhatsApp Business Platform through Meta's supported onboarding process.

This allows eligible businesses to manage WhatsApp conversations professionally and use approved messaging tools.

You can:

  • Send and receive WhatsApp business messages.
  • Create and use approved WhatsApp message templates.
  • Send broadcasts to eligible, opted-in contacts.
  • Build automated WhatsApp conversations.
  • Manage customer enquiries through a shared inbox.
  • Organize contacts into groups and segments.
  • Set up automatic replies and follow-up workflows.
  • Connect team members to customer conversations.
  • Monitor messaging activities and campaign results.
  • Use supported product, catalog, interactive message, and payment-link features.

Important: Mambaio uses the official WhatsApp Business Platform. This helps businesses follow Meta's approved messaging processes, but it does not guarantee that an account can never be restricted.

You must follow Meta's messaging policies, obtain appropriate customer consent, and avoid spam or unsolicited broadcasts.

WhatsApp message delivery, template approval, account quality, messaging limits, and applicable Meta charges are controlled by Meta.

2. Facebook Messenger Automation

Connect your supported Facebook Page to manage Messenger conversations.

You can welcome new customers, create automated replies, respond to common questions, and route enquiries to the right team member.

You can also build Messenger chatbot flows to collect customer information and guide conversations.

3. Instagram Messaging & Automation

Connect your eligible Instagram professional account to manage customer interactions.

Supported features include:

  • Instagram direct messaging.
  • Automated replies to eligible incoming messages.
  • Keyword-based message automation.
  • Comment-to-DM automation.
  • Story reply and mention triggers where supported.
  • Private replies to eligible comments.
  • Comment management.
  • Instagram content publishing and scheduling.
  • AI-assisted captions and messaging.
  • Inbox and conversation management.

For example, you can publish an Instagram post saying:

"Comment PRICE to receive the product details."

When a customer comments with the correct keyword, an eligible automation can send a private reply based on Instagram's platform rules.

Remember: Instagram automation must follow Meta's messaging permissions, eligibility requirements, and applicable messaging windows.

4. Telegram Bot & Mini App

Mambaio also provides tools for supported Telegram automation and Mini App experiences.

You can build interactive customer experiences such as:

  • Product catalogs and storefronts.
  • Customer registration forms.
  • Lead collection forms.
  • Booking and enquiry interfaces.
  • Ordering experiences.
  • Customer onboarding.
  • Subscriber engagement.
  • Automated Telegram bot conversations.
  • Broadcasts to eligible Telegram bot subscribers.

Telegram can be especially useful for businesses that want to build an audience they can engage with through a bot.

Telegram bot messaging follows Telegram's own rules, and some features require separate bot or Mini App configuration.

5. AI-Powered Customer Conversations

Mambaio provides AI tools designed to reduce repetitive manual work.

Depending on your enabled AI features, you can use AI to:

  • Suggest customer replies.
  • Generate messaging templates.
  • Assist with chatbot content.
  • Respond to common questions using configured business information.
  • Guide customers through enquiries.
  • Support customer service agents.

For the best results, provide accurate information about your business, including products, services, operating hours, pricing, policies, and frequently asked questions.

Your AI assistant should be tested before you allow it to handle live customer conversations.

6. Shared Team Inbox

You do not need to manage every conversation yourself.

With Mambaio's shared inbox, your team can work together from one workspace.

You can organize customer conversations, assign chats, monitor responses, and control team access through supported roles and permissions.

This is useful for sales teams, customer support departments, agencies, and growing businesses.

7. Broadcast Messaging & Customer Follow-Ups

Mambaio helps you organize contacts and send targeted messages through supported channels.

Instead of sending the same message to everyone, you can group contacts according to their interests, enquiries, purchases, or other relevant information.

For example:

  • Customers interested in real estate.
  • People who requested product prices.
  • Existing customers.
  • New leads.
  • Customers awaiting follow-up.
  • People who registered for a training.

You can then communicate with eligible contacts using the appropriate channel rules.

Broadcasting is not permission to send unsolicited messages. Always obtain the required opt-in and respect customer preferences.

8. Products, Sales & Payment Experiences

Where supported by the connected channel and payment integration, Mambaio can help businesses share product information, provide catalog experiences, generate or share payment links, and guide customers toward checkout.

For example, an online seller can build a flow that helps a customer select a product and proceed to an available payment method.

Payment processing, supported currencies, and transaction charges depend on the connected payment provider.

9. Integrations & Business Workflows

Mambaio supports integrations and automation connections for different business workflows.

Depending on your plan and configuration, supported integrations may include:

  • Google Sheets.
  • Webhooks and REST APIs.
  • Zapier, Make, Pabbly Connect, and n8n.
  • Shopify and WooCommerce.
  • Other supported e-commerce and business tools.

These connections can help transfer customer information, trigger workflows, and reduce repeated manual data entry.

Some integrations require external accounts, API credentials, or technical configuration.

PART 3: HOW TO GET STARTED WITH MAMBAIO

STEP 1: CREATE YOUR MAMBAIO ACCOUNT

Visit:

https://mambaio.com

Select the registration or getting-started option on the website.

Complete the registration form using your correct information.

Use an email address you can access because important account and subscription information may be sent there.

After registration, sign in to your Mambaio dashboard.

Your dashboard is your main business workspace.

This is where you will manage your connected channels, conversations, contacts, automations, and available business tools.

What should you do immediately after registration?

Before creating your first automation:

  1. Confirm you can sign in successfully.
  2. Review your account information.
  3. Choose the subscription that matches your business needs.
  4. Confirm which features are included in your plan.
  5. Decide which messaging channel you want to connect first.

Important: Registration alone may not unlock every premium feature. An active subscription may be required for the tools you want to use.

STEP 2: CHOOSE YOUR SUBSCRIPTION

Mambaio provides subscription options for different business needs.

Visit the official website to review the current plans, pricing, limits, and included features.

https://mambaio.com

Choose your preferred plan and complete the available payment process.

After payment, return to your dashboard and confirm that your subscription is active.

Does the subscription cover WhatsApp messaging charges?

Your Mambaio subscription and Meta's WhatsApp messaging charges are separate.

Your subscription covers the Mambaio platform features included in your selected plan.

Meta may charge separately for certain WhatsApp template messages, depending on the message category, destination, and current pricing rules.

You may need to configure a payment method in your Meta business billing settings.

Mambaio's advertised policy is 0% markup on Meta messaging charges, meaning applicable Meta messaging fees are passed through without an additional Mambaio markup.

Always check the current pricing and billing terms before launching a large campaign.

PART 4: CONNECT YOUR FIRST COMMUNICATION CHANNEL

You do not need to connect every channel at once.

Start with the channel your customers use most.

If your customers mainly contact you through WhatsApp, start with WhatsApp.

If your business receives most enquiries through Instagram, connect Instagram first.

If you want to create a Telegram subscriber community, begin with Telegram.

You can add other supported channels as your business grows.

OPTION A: CONNECT WHATSAPP

To get started with official WhatsApp Business API integration, prepare the following:

  • An active Mambaio subscription that supports the feature.
  • Access to your Meta business account.
  • A WhatsApp phone number that is eligible for the selected onboarding method.
  • Permission to manage the relevant Meta business assets.
  • Accurate business information.

WhatsApp connection process

  1. Sign in to your Mambaio dashboard.
  2. Open the available WhatsApp channel connection or integration area.
  3. Select the official Meta connection option.
  4. Sign in to Facebook or Meta when prompted.
  5. Select or create the appropriate business portfolio.
  6. Select or create the required WhatsApp Business Account.
  7. Choose the phone number you want to connect.
  8. Complete the verification and authorization steps requested by Meta.
  9. Return to Mambaio and confirm the connection status.
  10. Test your connection using an eligible message or conversation.

The exact screens may vary depending on Meta's onboarding process and the options enabled in your account.

Can you keep using the WhatsApp Business App?

Mambaio supports WhatsApp Business App coexistence where the phone number, account, region, and Meta onboarding flow are eligible.

Coexistence may allow you to continue using the WhatsApp Business App while also connecting the number to the official API.

However, do not delete your WhatsApp account, uninstall your app, or migrate your number unnecessarily.

Follow the coexistence option shown during onboarding and confirm eligibility before making changes.

What if your number is already connected to another WhatsApp API provider?

Do not attempt repeated connections without checking the current provider arrangement.

You may need to complete an approved migration or release process before connecting through Mambaio.

What if the connection fails?

Check that:

  • You signed in with the correct Meta account.
  • You have the necessary business permissions.
  • Your number is eligible.
  • You completed the required verification.
  • Your Meta business account has no blocking restrictions.
  • You approved the requested connection permissions.

If the problem continues, record the exact error message before contacting support.

OPTION B: CONNECT INSTAGRAM

To use Instagram business messaging and automation:

  1. Make sure your Instagram account is an eligible professional account.
  2. Ensure the required Meta account permissions and connections are available.
  3. Sign in to Mambaio.
  4. Open the Instagram connection area.
  5. Authorize the requested Meta permissions.
  6. Select the Instagram account you want to connect.
  7. Complete the connection process.
  8. Test an eligible incoming message.

After connecting, explore the available Instagram inbox, messaging, comment automation, and content publishing tools.

Example: Create an Instagram keyword automation

Suppose you sell shoes.

You publish a post saying:

"Send SHOES to our DM to see available designs."

You can create a supported keyword automation that recognizes the word SHOES in an incoming message and responds with your prepared product information.

Test the automation using another eligible Instagram account before promoting it publicly.

OPTION C: CONNECT FACEBOOK MESSENGER

  1. Sign in to your Mambaio dashboard.
  2. Open the Facebook Messenger channel connection area.
  3. Sign in to your Facebook account.
  4. Select the Page you manage.
  5. Approve the required permissions.
  6. Complete the connection.
  7. Send a test message to your Page.

Once connected, you can begin configuring supported automated replies and Messenger flows.

OPTION D: CONNECT TELEGRAM

To use Telegram automation, you will generally need a Telegram bot.

Create a Telegram bot

  1. Open Telegram.
  2. Search for the official verified @BotFather account.
  3. Start a conversation.
  4. Send the command /newbot.
  5. Follow the instructions to choose a bot name and username.
  6. Copy the bot token provided by BotFather.
  7. Open the Telegram connection area in Mambaio.
  8. Enter the token using the secure connection field.
  9. Save the connection and test your bot.

Security reminder: Your Telegram bot token is sensitive. Do not publish it, share it in public groups, or send it to unauthorized people.

If your subscription supports Telegram Mini Apps, follow the Mini App configuration process provided in your dashboard.

PART 5: CREATE YOUR FIRST AUTOMATION

Now that you have connected a channel, you can create an automated customer experience.

You do not need to build something complicated.

Start with a simple welcome automation.

Example: A customer contacts your business

Your automation could follow this structure:

Welcome message:

"Hello! Welcome to our business. Thank you for contacting us. How can we help you today?"

Customer options:

  1. View our products.
  2. Check prices.
  3. Speak with our team.
  4. Get business information.

When the customer selects an option, the flow continues with the appropriate response.

For example:

Customer selects: Check prices

Your automation responds:

"Thank you for your interest. Please select the product or service you would like to know more about."

You can then provide the relevant information or route the customer to a human agent.

How to build your first flow

  1. Open the available automation or flow builder in Mambaio.
  2. Create a new flow.
  3. Give your flow a clear name, such as "New Customer Welcome."
  4. Choose the supported starting trigger.
  5. Add your welcome message.
  6. Add buttons, questions, or supported response options.
  7. Connect each option to the appropriate next step.
  8. Save the flow.
  9. Configure the relevant activation or publishing setting.
  10. Test the flow from the customer's perspective.

Do not launch an automation without testing it first.

Check every button, message, condition, and handover step.

PART 6: UNDERSTANDING WHATSAPP'S 24-HOUR MESSAGING RULE

This is one of the most important things every WhatsApp API user should understand.

When a customer sends your business a WhatsApp message, a customer service window generally opens for 24 hours.

During this window, you can send permitted free-form replies in the conversation.

When the window closes, you generally need an approved WhatsApp message template to initiate another business message.

Example

A customer sends:

"Hello, how much is your product?"

You respond with the price.

You can continue the permitted conversation within the open customer service window.

If the customer does not send another message and the window expires, you generally cannot send an ordinary free-form follow-up.

Instead, you must use an approved template where permitted.

The three main WhatsApp template categories

1. Marketing templates

Used for promotions, offers, product announcements, re-engagement, and other marketing communications.

Example:

"Hello {{1}}, our new collection is available. Visit our store to see the latest products."

Marketing templates require the appropriate customer consent and are subject to Meta's rules.

2. Utility templates

Used for eligible transactional or service-related updates connected to a customer's actions or requests.

Example:

"Hello {{1}}, your order {{2}} has been confirmed. We will notify you when it is ready."

Utility templates should not contain unrelated promotions.

3. Authentication templates

Used for approved authentication processes, such as sending one-time verification codes.

Example:

"{{1}} is your verification code."

Authentication templates must follow Meta's specific authentication requirements.

How to create a WhatsApp template

  1. Open the available WhatsApp template management area.
  2. Choose the correct message category.
  3. Enter the template name.
  4. Select the language.
  5. Write the message.
  6. Add supported variables or media if needed.
  7. Submit the template for Meta review.
  8. Wait for approval.
  9. Use the approved template in the appropriate campaign or automation.

Important: Template submission does not guarantee approval. Meta reviews templates and may reject or later restrict templates that do not meet its policies.

PART 7: HOW TO SEND YOUR FIRST WHATSAPP BROADCAST

Broadcast messaging allows you to communicate with multiple eligible contacts through an approved campaign.

Before you begin, make sure your WhatsApp channel is connected, your billing is configured where required, and you have an approved template.

Step-by-step broadcast process

  1. Sign in to your Mambaio dashboard.
  2. Open your contacts or audience management area.
  3. Add or import eligible contacts using the supported method.
  4. Organize contacts into the appropriate audience segment.
  5. Confirm that recipients have provided the required opt-in.
  6. Open the broadcast or campaign area.
  7. Create a new campaign.
  8. Choose the correct connected WhatsApp account.
  9. Select your approved template.
  10. Map the required template variables.
  11. Select your intended audience.
  12. Review the message content, recipients, and estimated applicable charges.
  13. Send a test where supported.
  14. Launch or schedule the campaign.
  15. Monitor campaign delivery and results.

How many messages can you send?

WhatsApp API messaging is subject to Meta's current account limits, quality controls, rate limits, recipient eligibility, and other restrictions.

Mambaio cannot override these restrictions.

Your actual messaging capacity may change based on your account status and Meta's policies.

How to improve your results

Send relevant messages to people who have agreed to receive them.

Avoid repeatedly sending the same promotional message to uninterested contacts.

Organize your audience and respect opt-outs.

A smaller, interested audience is usually more valuable than a large list of people who never requested your messages.

PART 8: ORGANIZE YOUR CONTACTS

Your contacts are an important part of your business.

Mambaio helps you manage customer information so that you can communicate more effectively.

For example, a real estate business might organize contacts as:

  • Land buyers.
  • House buyers.
  • Property investors.
  • Inspection requested.
  • Payment pending.
  • Existing customers.

An online store might use:

  • New enquiries.
  • Interested buyers.
  • Orders confirmed.
  • Returning customers.
  • Customer support.

Why organize your contacts?

Because not every customer needs the same message.

Someone who has already purchased a product may need delivery information.

Someone who has only requested a price may need more product details.

Someone who has requested support needs assistance, not another sales promotion.

Organizing your contacts helps you create more relevant conversations and follow-ups.

PART 9: SET UP YOUR AI ASSISTANT

If your subscription includes the required AI features, you can configure an AI-powered assistant to support your customer conversations.

What information should you prepare?

Your business name, description, products, services, prices, frequently asked questions, working hours, refund policy, delivery details, and escalation instructions.

Example AI assistant instructions

"You are the customer support assistant for our business.

Welcome customers politely, understand their enquiries, and provide accurate information using our approved business knowledge.

Do not invent product prices, availability, delivery promises, or company policies.

If a customer needs human assistance, guide them to our support team.

Keep your answers clear, helpful, and professional."

Before activating your AI assistant

Test common questions such as:

  • What do you sell?
  • How much does it cost?
  • How can I make payment?
  • Where is your business located?
  • What happens after I order?
  • Can I speak to a real person?

Make sure the AI answers correctly before allowing it to handle customer enquiries.

PART 10: INVITE YOUR TEAM

If your business has multiple employees, you can use Mambaio's supported team management features to share customer communication responsibilities.

For example:

Your sales representative can handle new enquiries.

Your support agent can handle customer complaints.

Your manager can monitor the team's conversations and performance according to the permissions assigned.

Getting started

  1. Open the team or user management area.
  2. Review your subscription's team limits.
  3. Invite your team members using the available method.
  4. Assign appropriate roles and permissions.
  5. Configure conversation access and assignments.
  6. Ask each member to sign in and test their access.

Only grant permissions that each person needs for their work.

PART 11: CONNECT OTHER BUSINESS TOOLS

If you use a website, online store, spreadsheet, or external business application, you may be able to connect it to Mambaio.

For example:

A customer completes a lead form on your website.

Your configured integration can transfer the lead information into your business workflow.

You can then organize the contact and initiate a permitted follow-up using the appropriate channel.

Other workflows may include order notifications, support enquiries, customer records, and sales updates.

Check the available integrations in your dashboard and follow the connection instructions for each service.

Some advanced integrations require technical knowledge or assistance from a developer.

PART 12: COMMON QUESTIONS & ANSWERS

Do I need programming knowledge?

No. Many Mambaio features are designed for non-technical business owners. Some advanced integrations and custom workflows may require technical setup.

Can I use Mambaio without WhatsApp?

Yes. You can use other supported channels and features available under your subscription.

Can I connect multiple social media accounts?

Supported account limits and available channels depend on your subscription and each platform's connection requirements.

Can I use my existing WhatsApp Business number?

Potentially. Eligible accounts may use WhatsApp Business App coexistence. Other numbers may require a supported migration or onboarding process.

Will Mambaio prevent WhatsApp bans?

Mambaio supports official WhatsApp API integration, but no provider can guarantee that an account will never be restricted. You must comply with Meta's rules.

Can I send messages to thousands of people?

You can run campaigns within Meta's applicable messaging limits and policies, provided your recipients are eligible and have given the required consent.

Do I need approved templates?

For business-initiated WhatsApp messaging outside the customer service window, approved templates are generally required.

Can I automate customer replies?

Yes, through supported channel automations and available AI or chatbot features.

Can I manage my business from a mobile phone?

You can access supported web features through a compatible mobile browser, although some advanced configuration tasks may be easier on a computer.

Can I cancel my subscription?

Review the current subscription, renewal, cancellation, and refund terms associated with your Mambaio plan. Do not assume that cancelling a platform subscription automatically cancels external Meta billing obligations.

Does Mambaio charge the same fees as Meta?

Mambaio advertises 0% markup on Meta messaging fees. Platform subscriptions and applicable Meta messaging charges are separate.

Can I use Mambaio for my clients?

Mambaio can support agencies and teams managing customer communications, subject to subscription limits, business permissions, and connected account requirements.

Can I use the same account for Instagram and Facebook?

You can connect supported Meta assets when you have the necessary permissions and your subscription allows the relevant connections.

Can I use Telegram without WhatsApp?

Yes, if your plan supports Telegram features and you complete the required bot configuration.

Can AI answer every customer question?

AI can assist with many routine enquiries, but its responses depend on the knowledge and instructions you provide. Sensitive, complex, or unresolved issues should be escalated to a human agent.

PART 13: TROUBLESHOOTING — SOLVE COMMON PROBLEMS YOURSELF

Problem: My WhatsApp account is not connecting

Check your Meta account permissions, business asset access, number eligibility, verification requirements, and any existing provider connection.

Try again only after identifying the likely cause.

Problem: My WhatsApp template was rejected

Review Meta's rejection reason.

Check the category, wording, variables, formatting, and policy requirements.

Correct the template and resubmit if allowed.

Problem: My broadcast is not sending

Check your WhatsApp connection, approved template, account status, recipient eligibility, available messaging capacity, and billing configuration.

Also review any error information provided by the campaign.

Problem: My automation is not responding

Confirm that the flow is saved, activated, attached to the correct channel, and configured with the intended trigger.

Test the flow from a separate eligible customer account.

Problem: Instagram automation is not working

Confirm your Instagram professional account connection, required permissions, trigger settings, and eligibility under Meta's messaging rules.

Problem: My AI assistant is giving incorrect answers

Review the knowledge sources and instructions assigned to your AI assistant.

Correct outdated or missing information, then test again.

Problem: My subscription is not showing as active

Confirm the payment status and ensure you signed in using the correct account.

If payment was completed but the subscription has not updated, contact support with your transaction reference.

Never share your payment card PIN, password, or one-time verification code.

RECOMMENDED ONBOARDING EXPERIENCE FOR MAMBAIO

The guide above should be your main self-service onboarding document. To reduce support requests further, we recommend dividing the customer experience into five stages.

1. Welcome & Account Activation

Introduce Mambaio, explain subscriptions, and help customers access their dashboard.

2. Connect Your First Channel

Guide customers through WhatsApp, Instagram, Messenger, or Telegram setup.

3. Launch Your First Automation

Help customers build and test a working welcome flow before exploring advanced features.

4. Grow Your Customer Communication

Introduce contacts, broadcasts, AI assistants, team inboxes, and integrations.

5. Self-Service Troubleshooting

Direct customers to the Mambaio Help Assistant Bot, FAQs, and relevant troubleshooting instructions before escalating to human support.

ONE IMPORTANT STEP BEFORE PUBLISHING

The onboarding guide covers Mambaio's known capabilities, but the exact dashboard menu names, subscription limits, and connection screens should be checked against the live product.

Adding screenshots or short demonstration videos for the major setup processes would make the guide considerably more effective.

Our recommendation: Make this onboarding available immediately after registration, with a visible "Start Here — Set Up Your Mambaio Account" link.

The first goal should be helping every customer connect one channel and successfully test one automation without contacting support.
